Menus

Here's a list of the menu items in Power To-Do List (and their shortcut keys).

File Menu

Menu Item What it Does Shortcut
Create New Data File You can open, save, and manipulate data files in Power To-Do List just like in a program like Microsoft Word. This button creates a new one. Maybe you'll have one for work and another one for home.

ALT + F + N

Open Data File Opens a previously saved data file.

ALT + F + O

Back Up to Disk Saves a data file to a place you specify.

ALT + F + D

Back Up to Email Opens a new e-mail (in your default e-mail client) with a copy of the current data file attached.

ALT + F + E

Print/Preview Opens the Print/Preview dialog. You can read more about printing reports here.

CTRL + P

Options Opens the Options dialog. You can read more about the Options dialog here.

ALT + F + T

MRU File List Between the "Options" menu item and the "Exit" menu item, Power To-Do List will display up to three most recently opened files. Choose one to open it without having to browse to it with the "Open Data File" menu item.

Exit Closes Power To-Do List. (Hint: Even if you have the program set to close to the system tray, closing it this way will exit altogether.)

(by Project)
In this view, your projects are listed on the left and the tasks for the currently selected project are listed on the right. Power To-Do List Read more about Project View here.

CTRL + F1

Next Actions
(by Project)

If you've read David Allen's excellent book, "Getting Things Done: The Art of Stress-Free Productivity", you're already familiar with "Next Actions". This view shows your top 1-3 Next Actions (you choose how many in the Options dialog) for each of your active projects. You can read more about this view (and the other grouped views) here.

CTRL + F2

All Tasks - by "Project" This view shows you all of your tasks, grouped by project. You can read more about this view (and the other grouped views) here.

CTRL + F3

All Tasks - by "Context" This view (initially) shows you all of your tasks, grouped by context. "Context" is one of the fields you can redefine in Power To-Do List. You can read more about that here, or read more about this view (and the other grouped views) here.

CTRL + F4

All Tasks - by Importance This view shows you all of your tasks, grouped by importance. You can read more about this view (and the other grouped views) here.

CTRL + F5

All Tasks - by Due Date This view shows you all of your tasks, grouped by Due Date. You can read more about this view (and the other grouped views) here.

CTRL + F6

All Tasks - by "Assignee" This view (initially) shows you all of your tasks, grouped by assignee. "Assignee" is one of the fields you can redefine in Power To-Do List. You can read more about that here, or read more about this view (and the other grouped views) here.

CTRL + F7

All Tasks - Ungrouped This view shows you all of your tasks in one big, long list. You can read more about this view here.

CTRL + F8

Show/Hide Preview Pane Toggles the Outlook style preview pane ON and OFF.

CTRL + SHIFT + P

Switch to Archived/Active Project List Switches between viewing all "Active" projects and all "Archived" projects. You can read more about working with projects here.

Actions Menu  

Menu Item What it Does Shortcut
Add Project All of your tasks have to belong to a project. Use this menu item to add a new project. You can read more about working with projects here.

CTRL + INS

Rename Selected Project

Don't like the name you gave a project? Change it with this menu item.  You can read more about working with projects here.

Delete Selected Project Don't like a project at all? Or, did it get canceled? Whatever. Delete a project with this menu item. Note: if you delete a project, all of the tasks assigned to that project will be deleted as well. You can read more about working with projects here.

CTRL + DEL

Archive/Unarchive Selected Project Using this menu item, you can archive projects when you're done with them (and get them out of your way) instead of deleting them. That way, you can still go back and view them, search for tasks in them, or include them in reports. When you archive a project, it goes into the archived projects list. You can view your archived projects by clicking on "Switch to Archived Project List" from the "View" menu.

CTRL + R

Add Task Add new tasks with this menu item (or by hitting the Insert key, or by right-clicking on the task area). You can read more about working with tasks here.

INS

Edit Selected Task This menu item brings up the Edit Task dialog for the selected task. Hint: If you have "In-Cell Editing" turned ON, you can edit most task fields right in the grid. You can read more about working with tasks here.

F2 

Delete Selected Task Use this menu item to delete the selected task. You can read more about working with tasks here.

DEL

Brain Dump The "Brain Dump" feature gives you a quick way to get all of those tasks bouncing around in your mental RAM out of your head and into your trusted system (Power To-Do List). In GTD, the Dave calls it a "Mind Sweep". Read more about doing a Brain Dump here.

CTRL + F9

Find Tasks "What was that task........? Hmmmm....... I know it has something to do with Biff Denkermeyer's demotion." I know! I'll use the "Find Tasks" menu item and search for "Denkermeyer".

CTRL + F

Set/Manage Quick Alarms These are alarms that aren't connected to tasks. Read more about them here.

F9

Edit "Context" List "Context" is one of the fields that you can redefine/rename in Power To-Do List. Use this option to edit your list of contexts (or whatever you decide to call it). This menu item will change according to what you've named that field. Read more about redefining the "Context" and "Assignees" fields here.

Make a Suggestion We love it when people give us their ideas and suggestions for our products. This menu item (also) launches an e-mail (in your default e-mail program) addressed to Five O'clock Software. Let us know what you want to see.

ALT + H + G

Visit Power To-Do List Web Site Launches your default web browser and pulls up our web site (www.powertodolist.com).

ALT + H + W

About Power To-Do List Shows the "About" dialog. See copyright information, credits, how many days are left in your trial period (if you haven't already purchased the program), and more.

ALT + H + B

Purchase Menu  (Note: This menu only shows up if you haven't already purchased/unlocked the program)

Menu Item What it Does Shortcut
Secure On-Line Purchase Click this menu item and make all of your dreams come true...  OK, maybe that was a little over the top. How about this? Click this button and make all of your tasks become complete. Clicking it will open a browser window and take you to our secure ordering page where you can purchase Power To-Do List.

ALT + U + L

Enter Unlock Code

When you purchase the program, we'll send you instructions on unlocking it. Part of those instructions will send you to the "Unlock" dialog. Here's one way to get to that "Unlock" dialog.
